Configuring Mentorships

This article explains how to configure mentorships in 12twenty. Mentorships are now managed through Mentorship Programs, which allow you to create and manage multiple distinct mentorship programs, each with its own settings, populations, and tasks.

Overview of Mentorship Settings

Mentorship configuration is now split into two sections on the Mentorship Site Settings page:

1. Mentorship Programs

Mentorship Programs are configuration-based and define how mentorships operate for specific populations. Each program has its own:

  • Program name
  • Duration and limits
  • Mentor and mentee populations
  • Request behavior
  • Tasks

You may create and manage multiple mentorship programs to support different use cases (e.g., alumni-to-student mentoring, peer mentoring, program-specific mentoring).

2. Mentorship Settings

These settings apply platform-wide and are not program-specific:

  • Mentorship Module Display Name
  • Allow mentors to be contacted directly

Mentorship Programs

Viewing Existing Programs

Navigate to Mentorship Site Settings → Mentorship Programs.

  • Existing programs are displayed as cards, each representing a mentorship program configuration.

Each card shows:

  • Mentorship Program Name
  • Mentor and Mentee populations

Select the program name to view details, and use the more actions icon > Edit to edit a configuration.


Creating a New Mentorship Program

Click + New in the Mentorship Programs section to create a new program. This opens a configuration slideout.

Mentorship Program Settings

These settings control how the program operates:

  • Mentorship Program Name (required)
  • Duration (Days) – Length of each mentorship match
  • Active Mentee Limit per Mentor – Maximum active mentees a mentor can have at one time
  • Active Mentor Limit per Mentee – Maximum active mentors a mentee can have at one time
  • Mentee Pending Request Limit – Maximum pending requests a mentee can send
  • Mentor Pending Request Limit – Maximum pending requests a mentor can receive
  • Request Expiration (Days) – Number of days before a request expires
  • Pending Request Reminder (Hours) – How often reminders are sent for pending requests
  • Request Button Text – Label shown to users when requesting mentorship
  • Default Request Template – Pre-filled message used for mentorship requests

Populations

Each mentorship program must define who can participate.

Mentors

Use filters to define which users are eligible to act as mentors.

Mentees

Use filters to define which users are eligible to request mentorship.

Available filters include:

  • Student Group
  • Grad Term
  • College
  • Program

Population Rules

  • You must select at least one filter for both mentors and mentees
  • Multiple filters are evaluated as an AND condition
    • Users must meet all selected criteria to be included

Individual Mentorship Matching

Admins can now create individual mentorship matches directly from the Manage Mentorships page! A +New Mentorship button allows admins to quickly pair a mentor and mentee by selecting an active mentorship program and searching for eligible students. The system validates mentor/mentee eligibility, enforces active match limits, and prevents duplicate or invalid pairings. Once created, both the mentor and mentee receive an email notification letting them know they’ve been matched and directing them to view their mentorship details.

 


Setting Mentorship Tasks

Mentorship tasks can be configured per program to guide mentors and mentees through structured activities.

  • Add one or more tasks
  • Tasks apply only to the mentorships created within that specific program
  • Tasks can be completed by either the mentor or the mentee
  • These tasks will be used to populate the "Tasks Completed" filter options for admins

Editing a Mentorship Program

To edit an existing program:

  1. Locate the program card under Mentorship Programs
  2. Click Edit
  3. Update settings, populations, or tasks as needed
  4. Click Save Changes

Changes apply only to that program and do not affect other mentorship programs.


Mentorship Program Status: Active & Inactive

Mentorship programs are active by default, but can be inactivated to allow administrators to reuse the same configuration across different academic years or semesters.

 

Inactivating a Mentorship Program

Admins can inactivate a mentorship program from the program’s Actions menu.

  • When active, the action menu includes Inactivate
  • When inactive, the action menu displays Activate

Inactivating a program does not delete the configuration or historical data. It simply pauses the program’s availability.

 

Behavior When a Program Is Inactive

For Students & Alumni

When a mentorship program is inactive:

  • The program does not appear in the Mentorship Program opt-in picklist
    • Mentors can no longer opt in
  • The Request as Mentor button is hidden
    • Mentees can no longer send new mentorship requests

Existing or historical mentorships remain unaffected, but no new participation can begin while the program is inactive.


 

Cancelling an Existing Mentorship

Admins can now cancel an existing mentorship pairing directly from the Manage Mentorships page. A new "Delete" action is available in the more actions menu only when a single mentorship record is selected, helping prevent accidental bulk deletions. Admins are prompted with a confirmation modal before proceeding, and once confirmed, the mentorship record is permanently deleted.


Filters & Reporting

Admin Experience

  • Admins will continue to see all mentorship programs—active and inactive—in filters and reporting
  • This ensures continued access to historical data and reporting across past programs

Student Experience

  • Students will not see inactive mentorship programs in any filters or selection lists

 


 

Enabling Mentorship Access

For Admin Access - Custom User Roles need to be updated to include access to Mentorship. "School Administrators" are the only users who have default access. To update Admin Users Roles, please review the following resource: Admin User Roles - Configuration and Management

 

 

 

For Student and Alumni Mentor Access - All Student User Roles (which include Alumni) need to be updated to include access to the Mentorship module. There are two Student User Role Mentorship access options; for Alumni, use the "Can Opt in to be a Mentor" option to allow Alumni to become Mentors. "Access Student & Alumni Directory" must be enabled prior to providing access to Mentorship. 

 

 

Mentors must opt-in. In addition to the above user role permission, mentors must opt-in to programs by selecting Yes on the "Allow users to request me as a mentor" attribute. This attribute is available to mentor populations via their Account Settings, but we also recommend enabling this for mentors on-login. 

First, limit the attribute to the appropriate users. To do so, navigate to the attribute configuration via Site Settings > Students & Alumni > Attributes tab. From there, select the attribute "Allow users to request me as a mentor" and configure the attribute visibility. This will restrict the attribute to be visible only to the selected group in account settings.

Next, enable the attribute for on-login via the Login tab. This will display for mentors along with the mentorship programs picklist, so they may opt-in to any/all programs they are eligible to participate in:

 

 

 

For Student & Alumni Mentee Access - All Student User Roles need to be updated to include access to the Mentorship module. There are two Student User Role Mentorship access options; for Students, use the "Can Request a Mentor" option to allow Students to request a mentor. "Access Student & Alumni Directory" must be enabled prior to providing access to Mentorship. 


 

Mentorship Notifications

The Mentorship Module includes multiple notifications that are triggered based on the actions of the Mentee and Mentor. These notifications may be disabled, or edited for content as needed.
