Configuring Mentorship

The 12twenty Mentorship module connects Students and Alumni through a streamlined platform. Students can browse available mentors, view their profiles, and send mentorship requests. Mentorship helps students' professional growth by linking them with experienced alumni in their field of interest.

Admins set up the mentorship program, Tasks, User Roles, and customize settings like mentorship duration, request limits, and notification preferences. The module's recommendation engine helps students find suitable mentors based on matching attributes such as industry, function, and location. Both mentors and mentees have access to task lists and messaging.

Enable Mentorship Access for Admins

Custom User Roles need to be updated to include access to Mentorship. "School Administrators" are the only users who have default access. To update Admin Users Roles, please review the following resource: Admin User Roles - Configuration and Management

 


Enable Mentorship for Mentors

All Student User Roles (which include Alumni) need to be updated to include access to the Mentorship module. There are two Student User Role Mentorship access options; for Alumni, use the "Can Opt in to be a Mentor" option to allow Alumni to become Mentors. "Access Student & Alumni Directory" must be enabled prior to providing access to Mentorship. 

 


Enable Mentorship for Mentees

All Student User Roles need to be updated to include access to the Mentorship module. There are two Student User Role Mentorship access options; for Students, use the "Can Request a Mentor" option to allow Students to request a mentor. "Access Student & Alumni Directory" must be enabled prior to providing access to Mentorship. 

 


Configure the Mentorship Program

The Mentorship Module allows for the custom configuration of:

  • The Display Name of the module
  • The Duration of the mentorship
  • The Active Mentee Limit of each Mentor
  • The Active Mentor Limit for each Mentee
  • The number of Pending Requests a Mentee can have for Mentors
  • The number of Pending Requests a Mentor can have from Mentees
  • The number of days a Pending Request Expires if a Mentor does not respond
  • The default Mentorship Request Template

 

Mentorship Tasks must be created to provide the Mentors and Mentees with a custom checklist of action items to complete during their Mentorship Program. Mentorship Tasks are universal to the module and apply to all Mentee and Mentor activities. 

 


Mentorship Notifications

The Mentorship Module includes multiple notifications that are triggered based on the actions of the Mentee and Mentor:

Mentorship Request Expired (to Mentee) Mentee Mentor did not respond to the Mentee's Mentorship Request before the configured Expiration timeline
Mentorship Request Reminder Mentor Mentor has not responded to the Mentee's Mentorship Request in {Custom} number of hours

 

To configure the number of hours that must pass to trigger the Mentorship Request Reminder, please update the "To enable mentorship request reminders, enter the number of hours that will trigger a reminder notification if a student’s request remains pending" value in Mentorship Notification Settings. 

 

The "Mentorship Request" email template includes the substitution tag of
{{MentorshipRequestMessage}} which references the message created in Mentorship General Settings' "Default Mentorship Request Template."
