Custom Report Distribution

Custom Report Distribution allows users to schedule a custom report to be sent to selected career center users at a designated frequency when creating (or editing) the report. Below is an explanation of each distribution setting admins may control for a report.  

 

How to distribute a custom report

The Distribution section of a Custom Report allows the creator of the report to control:

  • Career Center Users: Select from the dropdown menu the career center users from your institution that will receive the custom report as an Excel file via Email.

  • Frequency: The frequency of distribution. Options include "Once, Daily, Weekly, Monthly, Quarterly".

  • Day of the Week: Select the day of the week the report will be distributed.

  • Expires On: Set an optional expiration date for the distribution.

Pro Tip: If distribution is enabled on a report, the report will have a clock icon next to it.

 

Publishing Reports for the Public

Public reports allow users to share a custom report with anyone who is provided the public link. Once a custom report has been published, a public link will be generated. Users navigating to the public link will not need to be logged in to your 12Twenty platform to view this data. For privacy concerns, it is important to double-check check the report’s data is appropriate for public consumption prior to publishing the report.

How to Publish a Custom Report

  1. Selecting the Custom Reports module from the left navigation panel

  2. Selecting the ellipsis icon of the report, and selecting Publish


  3. A confirmation window will appear with the generated public link


Your report will now have a green “Public” tag

 


Frequently Asked Questions

Can the report be sent using Distribution to users who aren't on the platform?
No, the user must be an administrator on the platform. If you'd like to send to someone off the platform, you should publish the report to make it public. You will then be able to share the link to the report.

When is the Distribution report sent?
It sends around 8 am PST on the configured day. For example, if you set it to send weekly on Monday, it will send on Mondays at 8 am PST. At this time, the time the report is sent cannot be adjusted. 

Do I get warned before I make a report public?
Yes. You will get a pop up warning that says: PLEASE NOTE: Publishing this report will make it available to anyone with access to the public link below, and will update the visibility of your report to "Everyone." Public reports display live data, and as such the report's data may change after publishing. The filters available on public reports may be controlled via your attribute settings. Is there anything I should know before making a report public?

Fields considered to contain Personally Identifiable Information (PII), like names and birthdays, are not included in Public Reports. Instead, Public Access Tools allows Career Center Users to provide the general public with the ability to access 12twenty reports that contain aggregated data like:

  • Employment Industry Breakdown for the Class of 2020
  • Job Source Breakdown for the Class of 2020

Public Reports are not intended for Career Center Users to create reports that include PII like:

  • Specific Students from the Class of 2020 Who Work in Consulting
  • Names of Students Who Work at "XYZ Corp."
