Appointment Site Settings

This article outlines the site settings admins can configure for the Appointments module. To navigate to the appointments site settings page, select  'Settings” from the left side navigation, select 'Site Settings' from the drop-down menu, and choose 'Appointments'.

Student Availability Settings

This section allows you to enable or disable the Appointments module for a specific graduation class. Note that all grad classes are enabled by default, so this section offers a quick way to remove access to this module for a graduation class. To disable access: select a grad year, uncheck the “Can Access Advising Appointments Page” setting, and select Save Changes. This will remove the “Appointments” option from the student’s left-hand navigation panel.





Appointment Time Settings

This section allows you to dictate the duration of appointments, by Student Group and Appointment Type. Choose a Student Group to see a list of all Appointment Types. Check the boxes for each appointment type to limit students in this student group to booking a 15, 30, 45, or 60-minute appointment. Selecting more than one duration for a single appointment type allows students to decide between the durations when booking an appointment. Please note: Selecting none of the duration options for an appointment type allows students maximum flexibility when booking an appointment.




 

Appointment Booking Settings

Enter the number of days prior to an appointment that student may start to book it

This setting limits students from booking an appointment too far in advance. For example, set this to “14” to block students from booking an appointment more than two weeks in advance. Leave this setting blank to set no restriction.

 

Enter the number of hours prior to an appointment when students will no longer be able to book it

This setting limits students from booking an appointment without enough notice to the career center. The availability is also defined by the block, it goes off of the block starting time. For example, set this to “24” to prevent students from booking same-day appointments. Leave this setting blank to set no restriction.

 

Set the number of hours prior to an appointment when students will no longer be able to cancel it

This setting prevents students from cancelling an upcoming appointment. For example, set this to “24” to prevent students from cancelling appointments the day of. Leave this setting blank to set no restriction.

 

Default appointment block time interval (minutes)

This setting sets the interval options for career advisers creating appointment blocks. For example, setting this to “45” minutes will allow advisers to create an appointment block from 12:00pm - 12:45pm, 12:00pm - 1:30pm, 12:00pm - 2:15pm, etc. Leave this setting blank to set no restriction.

 

Number of appointments student can book + Frequency

This setting limits the amount of appointments students can book. For example, set this to “1” and “Every Week” to limit students to book one appointment per week. Set this to “1” and “All the time” to block students from booking another appointment until their scheduled appointment has passed.



 

Notification Messages

This section allows admins to add a notification to the student and admin appointment page. We recommend adding your office’s appointment policies, general announcements, and any specific directions you want to highlight here for students.
