Using Kiosk

The 12twenty Kiosk provides an unsupervised 12twenty session that allows Student and Alumni users to quickly check themselves in for an in-person appointment, event, or career fair when they arrive.


 

Kiosk Branding

The Kiosk landing page will use the default Site Branding. If you have multiple Site Background images, the Kiosk will use the default image that is presented to Admins. Additionally, the Kiosk will show the default Site Instance logo and show the title of the Event or "Appointment Check-In."

Launching Kiosk for Appointments

Admins can access the Appointment Check-in Kiosk via a dedicated “Launch Check-in Kiosk” button located on the Appointments module homepage. This button is visible only to Admin Users with a User Role where "Access Appointments" and "View All Adviser Appointments" are enabled.

Use the workflow below to launch Appointment Kiosk:

  1. Navigate to the Appointments Module
  2. Select Check-in Kiosk

  3. Kiosk will open and be restricted to Kiosk mode

 

Launching Kiosk for Events

Kiosk is launched directly from an event and allows users to check in to an event via Card Swipe, Student ID entry, and Email entry. The Kiosk can only be launched by an Admin User who has access to Events and can manage Events.

Use the workflow below to launch Event Kiosk:

  1. Navigate to the desired Event (Standard, Time-Slot, or Career Fair)
  2. Select the three-dot action button and select Launch Check-In Kiosk
  3. Select a Check-in Type

    • If you will be printing Name Tags and your printer is connected, a blue "Your Dymo label Printer..." notification will be displayed
  4. A new Kiosk tab will open in the browser and the Admin User will be immediately logged out of their session

 

Using Kiosk

With Kiosk fully configured, Students and Alumni can use their Swipe ID, Student ID, or email address to check in. With a successful check-in students will be presented with a successful check-in message.

  • For Events, the page is reset after 3 seconds and the next user can check-in. 
  • For Appointments, the page is reset after 10 seconds and the next user can check-in.

Check-in should take approximately 5-10 seconds per user. This starts from the moment the unique identifier is submitted. The name tag will print and the next user can check in. 

If an error is presented, the error message will display for a maximum duration of 10 seconds unless the user selects "OK."


 

Check-In Type Rules for Appointments

  • Time-Based Criteria: If an Appointment start time is within an hour of the "current time," and the appointment has not concluded
  • Multiple Appointments: If multiple appointments fall within the 1-hour timeframe, the user will be checked into their earliest appointment

 

Check-In Type Rules for Events

  • Open Check-in: Allows all users to check in regardless of their eligibility and registration status
    • This allows any Student or Alumni user in your platform to register for the event and be marked as Attended
  • Open Check-in with Eligibility Restrictions: Allows users to check in regardless of registration status, but requires that the user is eligible to attend the event
  • Closed Check-in: Only allows Student and Alumni users who were already registered for the event to check-in

 

Check-In Error Messages for Appointments

User Check-in Errors

  • Time-Based Criteria: If a user's appointment is more than 1-hour in the future, they will receive an error.
    • "We are not able to check you in more than an hour before your appointment start time. Please try again later."
  • No Appointment Scheduled: If a user does not have an appointment scheduled for the day, they will receive an error.
    • "We were unable to find your appointment."

 

Check-In Error Messages for Events

Check-In Selection: No printer found

If you are experiencing an error where your Dymo printer is not found, please ensure you have connected the printer and the proper drivers are installed. To learn more, please review the Name Tag Printing resource.

Student and Alumni Check-in Errors

  • Open Check-in and the user is not found
    • "User not found. Please ensure you are entering the correct student ID and/or email address."
  • Open Check-in with Eligibility Restrictions and the user does not meet the criteria
    • "Unfortunately, we are not able to check you in as you do not meet the event’s eligibility criteria."
  • Closed Check-in and the user is not registered
    • "Unfortunately, we are only able to check in students that are already registered for this event."
  • User is already registered and checked in to the event:
    • "Good news! You are already checked in for this event."
