Resume Book Management

Resume books are essential tools for career centers, employers, and students, facilitating recruitment and career development. In 12twenty, resume books are categorized into active, inactive, published, unpublished, and archived states. Each state determines its visibility, accessibility, and overall functionality. Understanding these distinctions ensures effective use of resume books, supporting streamlined recruitment processes and secure data management.

What is a Resume Book?

The Resume Books Module is a tool that career center admins can use to compile a collection of resumes that meet guidelines set by the admin (e.g. field of interest, graduation year, work experience). Students that meet these conditions are able to apply to the resume book, which admins may then share with employers and/or other students.


 

Admin Actions for Resume Books

Admin users can use the Action button on the Resume Book Details tab to accomplish the following:

  • Publish: Select Publish to Publish the resume book. To learn more about published resume books, click here

  • Archive: Select Archive to Archive the resume book. To learn more about archived resume books, click here

  • Edit: Admin users can edit the resume book by selecting Edit.

  • Delete: Deleting a resume book deletes all data associated with the resume book. Note that this action is irreversible; the resume book will permanently be unavailable to admin, student, and employer users. To delete a resume book, select Delete.

  • Deactivate: Select Deactivate to deactivate a resume book. If you would like to learn more about inactive resume books, you can click here.

  • Shareable Links: To send a specific resume book to Students or Employer users select the appropriate option and the URL will be copied to your clipboard for easy sharing.

  • View Audit Log: The Audit Log is a useful tool that will show a brief summary of actions taken on a resume book. Select the plus sign to expand or the minus sign to collapse the details of the changes made.

Active Resume Book

Active resume books are accessible to employers, students, and administrators, enabling seamless resume updates, notifications, and downloads.

  • Visibility: Available for viewing by employers, students, and administrators.
  • Accessibility: Employers can search, view, and download resumes from the resume book.
  • Notifications: Students whose resumes are included may receive notifications.
  • Updates: Students can regularly upload or modify their resumes within the Student Application Start and End Date.

 

Inactive Resume Books

An inactive resume book is a resource primarily accessible to administrators, serving internal or archival purposes. Here’s a summary of its key features and how to manage it:

Features of an Inactive Resume Book

  • Visibility: Only accessible to administrators. Employers and students cannot view inactive resume books.
  • Employer Accessibility:
    • If Employer Visibility Settings are enabled, employers can see the Resume Book Details tab and names of student applicants but cannot view or download resumes.
    • If disabled, employers cannot access the resume book.
  • Student Accessibility:
    • If Administrative Settings permit, students can view and download resumes from archived books.
    • If not permitted, students can only view the Resume Book Details page.
  • Notifications: Students are not notified when a resume book is inactive.
  • Updates: Typically not updated regularly, serving as an archival resource rather than an active tool for recruitment.

 

How to Make a Resume Book Inactive

  1. Navigate to the "Resume Books" tab.
  2. Select the resume book you wish to deactivate.
  3. Click the "Action" button.
  4. Choose "Deactivate" from the dropdown menu.

Once deactivated, the resume book will display an "Inactive" tag, distinguishing it from active resources.

Published Resume Books

Published resume books are visible and accessible resources on the 12twenty platform, designed to facilitate recruitment and resume sharing with employers and authorized users.

When a resume book is in the ‘Published’ state:

Features of Published Resume Books:

  • Visibility: Published resume books are accessible to employers, students, and administrators.
  • Employer Accessibility:
    • Employers can view, download, and export resumes if the Employer Visibility Setting is enabled.
    • Notifications or alerts may inform employers about new published resume books.
  • Student Accessibility:
    • Students can view, download, or withdraw their resumes from the book.
    • If the "Allow students to apply even when the resume book is published" setting is enabled, students can apply directly to the book.

Recruitment Benefits:
Publishing a resume book activates it as a valuable resource for employers to find potential candidates for job openings, internships, or other opportunities.

Administrative Settings:

  • Employer Visibility Setting: Determines whether employers can access and export resumes.
  • Student Download Access: Enables students to view and download resumes in published or archived books.
  • Application Permission: Allows students to apply to a resume book even after publication.

 


 

Unpublished Resume Books

Unpublished resume books are resources in draft mode, allowing administrators to refine and control access before making them active for employers and students.

Once a resume book is created and in the ‘Unpublished’ state:

Key Features of Unpublished Resume Books:

  • Visibility:

    • Employers cannot search for, view, or download resumes in an unpublished book.
    • If Employer Visibility Settings are enabled, employers can see the Resume Book Details tab and names of student applicants but cannot access resumes until the book is published.
    • Students can view and apply to resume books based on the Who Can View & Apply administrative setting.
  • Student Accessibility:

    • Eligible students can apply to an unpublished resume book.
    • Students can edit, download, or withdraw their resumes from the book.

Unpublishing a Resume Book:

  • Visibility: Unpublishing removes the book from visibility for employers and students.
  • Editing: Administrators can unpublish to make updates or changes before republishing.
  • Recruitment: An unpublished resume book is paused as a recruitment resource until it is republished.

Publishing and unpublishing resume books provide flexibility, ensuring that resumes are accurate and accessible at the right time to support recruitment efforts.

 

 


 

Archiving Resume Books

Archiving a resume book in 12twenty allows Career Center Admins to remove it from active resources while preserving its content for future reference. This article covers how to archive resume books, visibility settings for archived books, and answers to frequently asked questions.

How to Archive a Resume Book

  1. Navigate to the "Resume Books" tab.
  2. Select the resume book you wish to archive.
  3. Click the "Action" button.
  4. Choose "Archive" from the dropdown menu.

Once archived, the resume book will display an "Archived" tag for easy identification.

Visibility Settings for Archived Resume Books

  • Employer Visibility:
    • If Employer Visibility Settings are enabled:
      • Employers can view the Resume Book Details tab and names of student applicants but cannot access or download resumes.
    • If disabled:
      • Employers cannot view the archived resume book.
  • Student Visibility:
    • If the “Are students able to download and view resume applicants once it is published and archived” setting is enabled:
      • Students can view and download all resumes.
    • If not enabled:
      • Students can only view the Resume Book Details page and cannot download resumes.

  • Accessibility: No resumes can be viewed or downloaded by employers or students.
  • Preservation: All resumes and data remain stored within the system for potential reactivation or reference.
  • Usage: Ideal for managing outdated resume books or organizing resources from past recruiting cycles.
  • Retrieval: Archived books can be reactivated or accessed by administrators if needed.

FAQs

Q: Can archived resume books be removed from the administrative dashboard?
A: Currently, 12twenty does not offer an option to remove archived resume books from the administrative dashboard.
