Substitution Tags Overview
Substitution Tags are placeholders for other values that get replaced with the user-specific value when an email is sent to multiple users. For example if we were to email multiple students and wrote "Dear Students" it's obvious to the user that the email wasn't targeted towards them exactly. With Substitution tags we can instead write "Dear {{FirstName}}" and each student will see their own name on the email.
The available substitution tags differ based on who you are emailing, for example messaging Students on 12twenty offers many more Substitution Tags compared to when messaging a Contact on your site. There are also substitution tags available for different kinds of notifications, most often these are used with Events and Job Postings or OCIs.
Best Practices
When using Substitution Tags it is important to remember the following:
- Instead of typing in the Substitution Tag, select if from the drop-down list:
- Substitution Tags will always display in Emails on Student or Contact Profiles and under the Email Activity section of the site, 12twenty's user Interface will not display the placeholder value. For example, {{FirstName}}{{LastName}} will display on the email in 12twenty instead of John Smith.
- If a Substitution Tag was used for a value that does not exist it will be left blank or empty on the email.
- 12twenty always recommends sending a test email to yourself before your first time emailing student in bulk using Substitution Tags.
Student Messaging Substitution Tags
Messaging student via 12twenty provides the most substitution tags out of any messaging or notification type on the platform, these tags will always reference a value from the student's profile if available. If no applicable value is available on the student profile then the substitution tag will be left empty on the email. Contact, Job, and Event Messaging Substitution Tags
Bulk-selecting Contacts, Jobs, OCIs, or Events from their respective directories and choosing the option to message them only allows for the {{FirstName}} and {{LastName}} tags. When messaging contacts this will always use the contact's first and last name, but when messaging Jobs, OCIs, or Events in bulk administrators have the option to select who they want to message using checkboxes along the top of the window. The {{FirstName}} and {{LastName}} tags apply to whatever options are selected.
Instead of breaking down the Substitution Tags, we've noted where the respective recipients can be found for each type.
Contacts
Contacts only ever use the selected contact's First and Last name as placeholder values.

Notification Substitution Tags
Notifications for specific modules are found under Site Settings > Site Management. Select the module you want to view notifications for and then choose the "Notifications" tab along the top of the page.
Each module with notifications has its own unique Substitution Tags depending on the needs of the module, for example Experiential Learning has separate Substitution Tags from the Mentorship module because Experiential Learning Notifications include things like the name of the experience while Mentorship notifications might reference the names of the Mentor or Mentee.
Due to the amount of unique substitution tags available for each module, if you have questions about what a specific Substitution Tag on a notification is referencing 12twenty recommends using the "Send me a Test Email" option under the 2-dot action button to the top right of the notification you are editing:
If you still have question please consider contacting support@12twenty.com for more information.
