Overview
The Post-Appointment Survey feature allows schools to easily collect feedback from students after their advising appointments. Administrators can customize survey questions, automatically send survey links via email, and review results through reports and analytics.
How It Works
Creating and Managing Surveys
A new Post-Appointment Survey section is available in Site Settings → Appointments → Attributes → Post Appointment Survey
Schools can add custom survey questions that apply to specific appointment types, or set attribute visibility by student attributes like Student Group, College/School, and more.
Each survey includes a standard question called “Appointment Experience”, where students rate their overall experience on a 1–5 star scale.
Student Experience & Email Delivery Rules
⚠️ NOTE - If you have previously customized the Appointment Follow-Up email notification, the post-appointment survey will not be included in the email until you update this template to include the new "{{PostAppointmentSurveyURL}}" merge tag
After an appointment, students receive a Follow-Up Email containing a secure link to the survey (
{{PostAppointmentSurveyUrl}}).Emails are sent X hours after the appointment (determined by the value specified within the "enter hours after the end of an appointment when an email should be sent..." setting) and only to:
Students marked as Attended (if the Attendance attribute is enabled), or
Students not marked as No Show (if Attendance is disabled).
Students must log in to complete the form.
Once submitted, they see a confirmation message: ✅ “Thank you! Your feedback has been submitted.”
Only admins can view survey responses.

Viewing a Post-Appointment Survey
Appointment details now appear in a slideout view with tabs for Appointment, Notes, Transcript, and Post-Appointment Survey.
The Post-Appointment Survey tab displays all responses for the appointment. If no survey has been submitted, the message “Post-appointment survey is not yet available for this appointment.” is shown.
Reporting
A new Post-Appointment Survey custom report is available under Appointment reports.
Default columns include: Student (linked to profile), Career Adviser, and Appointment Date & Time.
All student, appointment, and survey questions can be added as report columns or filters.
On the Appointment Analytics page, a new tile summarizes responses to the Appointment Rating question, giving schools quick insight into overall satisfaction.
