Admin User Roles - Configuration and Management

This article discusses how to manage and configure Admin User Roles to grant and restrict Career Center Administrators access to certain modules and functions within the platform.

An Admin can only ever be granted one user role at a time, but a user role can have any number of permissions enabled or disabled.

Creating and Editing Admin User Roles

To create a new user role or edit an existing one navigate to Site Management > Manage Users > Admins, then selecting "Roles" from the tabs along the top of the page.

Create a New Admin User by clicking the button that reads "+ Add New User Role"



Only Custom roles can be edited, these roles are identifiable by the green "Custom" tag to the right of its name. Edit these roles by clicking the 3-dot action button and choosing "Edit" from the drop-down menu:

 

Assigning Admins to a User Role

Assign admins to a User Role by navigating to Site Settings > Manage Users > Admins, then selecting the "Users" tab along the top of the page:

Click the 3-dot action button the right of the administrator that needs to have their User Role changed:

Finally, use the "Access Level*" field to select the desired User Role from the drop-down menu:



Admin User Role Permissions

Admin User Roles contain a list of all the permissions in 12twenty an admin user can be granted access to. The Default School Administrator Role has all of these permissions enabled, but it's possible that not all users on your 12twenty site instance will need access to all of these different permissions. 

To view the current settings of any role click its name:

 

The next page will show a list of all the Permissions admins can be granted access to organized by section. Below is an example of what this page looks like, later in this article there is a breakdown of each section with a description for all of its permissions:



General Permissions

Permission Description
Email Students in Bulk User can email students from directory pages and from other list pages like job postings and events.
View Class Status Snapshot User can view Student Outcome table on home page.
Manage User Roles and Groups Users can create and manage student and alumni user roles.
Email Campaigns Users can access Email Templates.
Access Site Settings User can access Site Management pages.
Manage Users User can access Manage Users page.
Access Rooms User can access Manage Rooms page.
Access Libraries User can access Interview Approval page.
Access Data Uploads User can access Data Upload Tool.
Manage Email Activity User can access Email Analytics.
Access Document Review and Approve Documents User can access, approve, and review documents under Experiential Learning
Post Announcement User can post announcements that are visible on the home page
Access Mentorship User can access the Mentorship module
Access Communities User can access the Communities module
Manage Communities User can create, edit, and delete communities in the Communities module

 



Outcome Data Analytics (ODA)

Permission Description
Access Student Profile User can access student profiles. If this setting is not enabled users can see basic student information in list pages, but they cannot click into the student to view their profile.
View Work Experience Job Phase Compensation User is able to see salary data within outcomes and the student profile for the Alumni ODA Work Experience job phase.
View Non-Work Experience Job Phase Compensation User is able to see salary data within outcomes and the student profile for all other job phases.
Include Job in Reporting User is able to modify an outcome to "include in reporting"/"exclude from reporting" through student profiles.
Manage Job Created By Other Users User is able to edit and approve outcomes created by other users through student profiles.
Manage All Notes User is able to modify shared notes through student profiles.
Accept Jobs User is able to mark a received job offer as "Accepted" through student profiles.
Manage Jobs That are Not Rumors User is able to modify non rumor job outcomes through student profiles.
Manage Students User is able to edit Student Profiles and Education.
Access Student & Alumni Directory User can access the Student & Alumni Directory. Without this setting users will not see "Students & Alumni" on the left-hand side navigation menu
Access Student & Alumni Directory Custom Views User can Create New Views while in List View on the Student Directory.
Access Standard and 12Twenty Reports
User can access Standard and 12Twenty Reports modules.
Access Student Reporting
User can access Custom Reports module.
Access Student Research Tools
User is able to access Research Tools using the Student View.
Access Student Tools as Admin
User is able to access Research Tools using the Admin View.
Access Interview Database User is able to access the Interview Database.
Approve Jobs User is able to approve and manage reported outcomes through the bell "Notifications" icon.
Approve Interviews User is able to view and approve interviews submitted for the interview database through the bell "Notifications" icon.
Approve Attributes User is able to approve interview questions submitted for the interview database through the bell "Notifications" icon.

 



Employer Relations Management (ERM)

Permission Description
Access Employer Tracking User can access the Employer Directory module.
Manage ERM User can approve and manage/edit Employers & Contacts.

 



Career Services Management (CSM)

Permission Description
Candidate Search User can access the Candidate Search module.
Grant Permission User can grant employer users access to Candidate Search.
Access Job Listings* User can access and view Job Postings in the "Interviews & Job Listings" module. Makes the module visible in the left-hand navigation menu.
Access OCI* User can access and view OCIs in the "Interviews & Job Listings" module. Makes the module visible in the left-hand navigation menu.
Manage Job Postings User can view, approve, add and edit both Job Postings and OCIs.
Access Student Employment* User can access Job Postings made via the "Job Postings from Alumni" module.
Access Events User can access Events.
Manage Events User can view, approve, add and edit Events.
Access Appointments User can access Appointments.
View All Adviser Appointments User can view adviser appointments for other admin users.
Access Resource Library Items User can access the Resource Library.
Edit Resource Library Items User can view, add and edit Resource Library items.
Access Resume Books User can access Resume Books.
Access Experiential Learning User can access the Experiential Learning Module.
Mark Approval Process Complete User is able to mark the approval process complete for an experience at any stage in the approval workflow.

*Note: 12twenty network jobs are always visible if a user has any of the Job Listing or OCI permissions enabled.

 



Custom Reports

Permission Description
Access Student Custom Reports User can view and create Student Custom Reports.
Access Outcome Custom Reports User can view and create Outcome Custom Reports.
Access Attribute Custom Reports User can view and create Outcome by Attribute Custom Reports.
Access Employer Custom Reports User can view and create Employer Custom Reports.
Access Contact Custom Reports User can view and create Contact Custom Reports.
Access Job Posting Custom Reports User can view and create Job Posting Custom Reports.
Access Event Custom Reports User can view and create Event Custom Reports.
Access Appointment Custom Reports User can view and create Appointment Custom Reports.
Access Experiential Learning Custom Reports User can view and create Experiential Learning Custom Reports.
Access Note Custom Reports User can view and create Note Custom Reports.

 



Impersonate Users

Permission Description
Impersonate Students/Alumni User is able to "login as" Students/Alumni users and impersonate their actions on the site.
Impersonate Employers User can "login as" Employer Contacts users and impersonate their actions on the site.
Impersonate Admins User can "login as" other Admin users and impersonate their actions on the site.
