School Offices

School Offices give your institution a dedicated profile page and calendar presence in 12twenty. This works for sites with a single career center, such as a business school or law school with one career services team, as well as for larger institutions that manage multiple career center offices, departments, colleges, or advising teams within one site instance.

Each office can have its own profile page, career center contacts, branding, events, career fairs, and related records. The Career Center Calendar gives students, alumni, and administrators a centralized place to view office-sponsored events across your school, you can find mode details in our article about the Career Center Calendar.

School Offices also help schools organize management access across offices. For example, a campus-wide site can use offices to let one career center team manage records associated with its office, while limiting management access to records associated only with other offices.

Product Roll Out

Beginning in July 2026, the School Offices and Career Center Calendar will be available only to career center admins while university partners complete their profile pages and begin populating their calendars.

The module will then be released to all users, including students, alumni, and employers, in mid/late August, with a specific date to be announced toward the end of July.


 

Who can use School Offices?

The School Offices and Calendar navigation items are available to all user types when enabled for your site. What each user can see or manage depends on their role, office associations, and eligibility rules.

Administrators with the appropriate permissions can:

  • Create and manage Offices
  • Create and manage Career Center Calendar Events
  • Associate Offices with Events, Job Postings, Appointments, and Appointment Blocks
  • Publish eligible Events from the Events module to the Career Center Calendar

Students and alumni can view offices and calendar events that are available to them based on office eligibility and event visibility settings.

Employers do not select or assign School Offices when submitting job postings or event requests. Office association is managed by administrators.


 

Access School Offices and Calendar

Two navigation items are available in the left-hand navigation menu:

 

  • School Offices: opens the office directory
  • Calendar: opens the consolidated calendar page

Note: Your institution can use custom names for these navigation items. Administrators can update the display names in Site Settings > General Configuration > Offices & Calendar > General.

The Calendar page includes two tabs:

  • My Calendar: This is the personal calendar view. This tab is visible to all users, but only students have personal calendar events to display.
  • Career Center Calendar: This contains all the office-sponsored events across your career center

 

Launch and setup expectations

When School Offices and the Career Center Calendar are enabled, schools should expect to spend time setting up office profiles, contacts, images, descriptions, and calendar content before the experience is made broadly available to students, alumni, or employers in August.

The Career Center Calendar starts with no events unless administrators add School Office Events directly or publish eligible Events module events to the Career Center Calendar. Existing Events module events are not automatically published to the Career Center Calendar. Only Events created after 

Schools with multiple career centers should also review their user roles and decide whether office-scoped management permissions should be used for job postings, events, and appointments.

Plan your School Office Structure

Before creating offices, decide what an office should represent for your site. The best structure depends on how your institution operates and how much separation you need between teams.

 

Use these guidelines when planning your setup:

  • Single career center sites: A business school, law school, or other single-office site may only need one School Office.
  • Centralized campus-wide sites: A campus-wide site may still use one School Office if one team manages career services centrally.
  • Decentralized campus-wide sites: A campus-wide site may create separate offices for colleges, schools, departments, or career services units when those teams need their own profile, calendar presence, or management boundaries.
  • Program-specific teams: A school may create separate offices for undergraduate, graduate, MBA, specialty master’s, law, alumni, employer relations, or other teams if those teams operate separately.

Offices are most useful when they reflect real operational ownership. If two teams share the same staff, events, employer workflows, and management rules, they may not need separate offices.


 

Site Settings for Offices & Calendar

Administrators can configure Offices and Calendar settings from:

Site Settings > General Configuration > Offices & Calendar

 

This section includes:

  • General: Customize the display names for the Offices and Calendar navigation items.
  • Attributes: Configure attributes for School Offices and School Office Events, including custom sections and custom attributes, see Attribute Configuration Tool for more information.
  • Picklists: Manage picklists used by offices and calendar events, such as School Office Event Type, see University Admin - How to Manage Picklists for more information.

 

School Offices Overview

Each site must have at least one active office. For a site with one career center, that office can serve as the main career center profile page and calendar. For sites with multiple offices, each office can represent a distinct career center team, department, college, graduate program, or specialized advising group.

Each office profile can include:

  • Office name
  • Location
  • About section
  • Website and social media links
  • Logo and hero image
  • Primary and additional contacts
  • Target industries, job functions, employment types, practice areas, clubs, or organizations, depending on your site configuration
  • Eligibility rules that determine which students or alumni can view the office. This also determines which students and alumni can view calendar events associated with this office.

Additional Details and office attributes

Office profiles can include additional fields such as industries, job functions, employment types, academic programs, majors, practice areas, or clubs and organizations, depending on the attributes enabled for your site instance.

These fields are primarily used to describe the office and help students, alumni, employers, and administrators understand the office’s focus. They are optional unless your site has configured them as required.

Empty optional fields do not appear on the public office profile. Schools do not need to select every possible value. Select the values that best describe the office’s focus and leave fields blank when they are not useful.

Custom attributes, including the ability to create sections, are also available for School Offices via Site Settings > General Configuration > Offices & Calendar.


 

View the School Offices Directory

Go to School Offices from the left-hand navigation menu to view the office directory.

By default, the directory shows active offices sorted alphabetically by name and you can also use the search box to search by office name. Additional filters may be available depending on which office attributes configured for your site.

Students and alumni will only see offices that are available based on the office’s eligibility rules.


 

School Office Profiles

Select an office from the directory to open its profile page. Each profile has separate tabs, all with different information.

Home

The Home tab includes the office overview, additional information, contacts, upcoming events, career fairs, and location information.

 

Contacts

The Contacts tab lists the administrators assigned as office contacts. Primary contacts appear first, followed by additional contacts in alphabetical order.

 

Contact cards include:

  • Name
  • Photo
  • Job title
    • NEW! This attribute is defined on the admin record under Manage Users
  • Phone number
  • Email address

Office contacts are also important for permissions. Administrators assigned as a primary or additional contact for an office are considered associated with that office for office-scoped permissions, such as Manage Job Listings From My Office Only, Manage Events From My Office Only, or Manage Appointments From My Office Only.

 

Add primary contacts for the main people who should be displayed prominently on the office profile. Add additional contacts for other administrators who should be associated with the office, including administrators who need office-scoped management access. An administrator can be associated with more than one office.

Calendar

The Calendar tab shows Career Center Calendar events associated with that office. You can view events in calendar view or list view, search by event title, and apply filters such as event type, location type, population, academic program or major, industry, job function, employment type, or practice area when those fields are enabled for your site.

Administrators with permission to manage the office can add events directly from this tab.

 

Career Fairs

If career fairs are enabled for your site the Career Fairs tab shows upcoming career fairs associated with the office. Invite-only career fairs are not shown on this tab.

 

Events

If Events are enabled for your site the Events tab shows upcoming events associated with the office.

 


 

Create or Edit a School Office

There are two User Role Permissions associated with Offices, Manage All Offices and Manage Associated Offices.

  • Administrators with the Manage All Offices permission can create and manage offices.
  • Administrators with Manage Associated Offices permission can manage offices where they are assigned as a primary or additional office contact, but cannot create new offices.

To create a new office:

  1. Go to School Offices.
  2. Select + Add New Office.
  3. Complete the office details, such as name, location, about text, website, branding, contacts, and eligibility.
  4. Save the office.

To edit an existing office:

  1. Go to School Offices.
  2. Open the office profile.
  3. Select the action menu.
  4. Select Edit.
  5. Make your changes and save.

Note: Each site must have at least one active office. If you try to deactivate the only active office you will receive an error


 

Office Associations on other Records

When your site has more than one active office, an Office field will appear on certain records, including:

  • Events
  • Job postings
  • Appointments
  • Appointment blocks

The Office field helps determine which office or offices are responsible for the record.

For events and job postings, office association controls administrator management access but does not change student, alumni, or employer visibility. For appointments and appointment blocks, office association can affect both administrator visibility and management access.

 

If your site has only one active office, the Office field will be hidden because the office association is implied.

Employers do not assign offices when submitting job postings or event requests. Office association is handled by administrators and is separate from the normal employer-facing eligibility and targeting options.

A record can be associated with more than one office when more than one office should be able to manage it. If a record is associated with multiple offices, administrators from any associated office may be able to manage the record if their role includes the appropriate office-scoped permission.

Records with no office association are not restricted by office-scoped management rules and remain manageable for administrators with the applicable management permission.


 

School Offices Bulk Actions and Notifications

Office associations can also affect bulk actions and sidebar notifications for administrators with office-scoped permissions.

On the Job Postings and Events list pages, administrators with Manage Job Listings From My Office Only or Manage Events From My Office Only can only perform bulk actions on records that are associated with one of their offices.

If an administrator selects records from one or more offices they do not have permission to manage, bulk action options are disabled. To perform the bulk action, the administrator should filter the list by Office and select only records from offices they manage.

Records with no office association are not restricted by office-scoped bulk action rules and remain actionable for administrators with the applicable management permission.

Sidebar notifications are also scoped by office for users with office-scoped permissions. For example, administrators with office-scoped job posting or event permissions see notifications only for records they can manage. When they select a notification, the destination list page may automatically apply the relevant Office filter.


 

Office Permissions

The following permissions are available for office management.

 

Manage All Offices

Users with this permission can:

  • Create, edit, and deactivate any office
  • Add, edit, and cancel Career Center Calendar events for any office
  • Associate records with any active office

School Administrator and 12twenty Administrator roles receive this permission by default.

Manage Associated Offices

Users with this permission can manage offices where they are assigned as a primary or additional office contact.

These users can:

  • Edit associated offices
  • Add, edit, and cancel Career Center Calendar events for associated offices
  • Associate supported records with offices they manage

"From My Office" Permissions

Some modules include office-scoped management permissions, such as:

  • Manage Job Listings From My Office Only
  • Manage Events From My Office Only
  • Manage Appointments From My Office Only

These permissions allow administrators to manage records associated with their offices while limiting management access to records outside their office scope.

A user’s office association comes from the offices where they are assigned as a primary or additional contact. A user can be associated with multiple offices.

You do not need to create one user role per office unless the permissions differ by office. For example, a school can create one “own office only” role and assign that role to administrators across multiple offices. Each administrator’s office contacts determine which office records they can manage.

Records with no office association are not restricted by office-scoped management rules. They behave as unrestricted records for administrators with the applicable management permission.

Administrators responsible for initial review or routing of incoming records may still need broader permissions, such as all-office management permissions, if they need to review, route, or assign records across offices.


 

Frequently Asked Questions

Can my site use School Offices if we only have one career center?
Yes. School Offices are not only for institutions with multiple career center teams. A site with one career center can use School Offices to create a dedicated profile page, display contacts and office information, and manage a Career Center Calendar.

How do we decide whether to create one office or multiple offices?
Create offices based on operational ownership. If one team manages the profile, events, job postings, appointments, and employer relationships, one office may be enough. If different teams need their own profile, calendar presence, contacts, or management boundaries, create separate offices for those teams.

Do office contacts affect permissions?
Yes. Primary and additional office contacts determine which administrators are associated with an office. This matters for permissions such as Manage Associated Offices, Manage Job Listings From My Office Only, Manage Events From My Office Only, and Manage Appointments From My Office Only.

Can an administrator belong to more than one office?
Yes. An administrator can be added as a primary or additional contact for more than one office. This allows the administrator to be associated with multiple offices for office-scoped management permissions.

Why don’t I see the Office field on a record?
The Office field appears only when your site has more than one active office. If your site has one active office, the field is hidden because the office is implied.

For appointments and appointment blocks, the Office field also depends on your site’s appointment-related configuration.

Why can’t I deactivate an office?
Each site must have at least one active office. If the office you are editing is the only active office, it cannot be deactivated.

Why can’t I manage an event or job posting from another office?
Your role may include a “From My Office Only” permission. These permissions allow you to manage records associated with your own offices, but not records associated only with other offices.

To manage a record from another office, the record must be associated with one of your offices or your role must include broader management permissions.

Can I manage a record that has no office assigned?
Records with no office association are not restricted by office-scoped management rules. They remain manageable for administrators with the applicable management permission.

Do office associations affect what students can see?
For events and job postings, office associations do not change student visibility by themselves. Visibility is still controlled by the record’s normal visibility and eligibility settings.

For School Office profiles, students and alumni see only offices they are eligible to view.

Can employers select a School Office when they post a job or request an event?
No. Employers do not select School Offices when submitting job postings or event requests. Employers continue using the normal job posting, event request, eligibility, and targeting workflows. Office association is managed by administrators.

Can office associations be used in reporting?
Office associations may be available as report filters depending on the report and module. However, office associations do not currently restrict Custom Reports data visibility. Custom Reports visibility is still controlled by the user’s reporting permissions.

Are School Offices and School Office Events endpoints available through the API?
Yes. School Offices and School Office Events are available through the API for supported API users. School Offices are deactivated rather than deleted through the normal administrator workflow.
